Best Subcontractor Management Software for General Contractors (2026)
Disclosure: we make SubSub. It's on this list. So is everything we'd honestly consider if we were buying, including tools that are a better fit than ours for some contractors. We say where.
Most "best subcontractor software" lists are written by a vendor ranking itself first. This one is too, in a sense. The difference is we'll tell you plainly where SubSub isn't the right tool.
The short answer
| Tool | Best for | Pricing model | Sub management depth |
|---|---|---|---|
| SubSub | GCs whose main problem is the sub network itself: compliance, dispatch, work orders, warranty | Free for 3 subs; $99/mo unlimited | Core focus |
| Buildertrend | Residential builders and remodelers wanting one system for everything | Quote-based tiers, unlimited users | One module of many |
| Procore | Mid-size and large commercial GCs | Quote-based, priced on construction volume | Deep, enterprise-grade |
| JobTread | Small–mid residential GCs who want estimating through invoicing | Published: base + per internal user | One module of many |
| Projul | Growing residential contractors wanting flat pricing | Flat-rate tiers, no per-user fees | One module of many |
| Contractor Foreman | Budget-conscious small contractors | Low published tiers | Basic |
| Fieldwire | Field task, plan and punch-list coordination | Per user, with a limited free plan | Task-level only |
| Knowify | Trade contractors focused on job costing and QuickBooks | Tiered subscription | Financial side |
What "subcontractor management" actually means
Most project management suites handle subs as contacts you assign tasks to. That's coordination, not management. Real sub management covers the whole relationship:
- Onboarding. Trades, service area, crews, W-9, agreement.
- Approval. Actually reading the certificate of insurance against your requirements, not just filing the PDF.
- Compliance. Knowing when insurance, bonds and licenses lapse, before a non-compliant crew is on a roof.
- Dispatch. Finding who's free, covered and in range, and sending a work order they accept.
- Change orders. Changes tracked against the original scope, not silent edits.
- Warranty. Knowing whose labor warranty covers a failure two years later.
- Payment. Paying against the agreed work order value.
If you only need steps 4–5, almost any tool on this list works. If steps 2, 3 and 6 are where you lose money or sleep, the list gets much shorter.
The tools
1. SubSub
What it is: A system of record for your subcontractors, built around the GC↔sub relationship rather than the project.
Where it's strong:
- Subs build and maintain their own profiles, crews and documents from their phone. Their logins are free and don't use a seat.
- Insurance is checked line by line against your requirements (GL, aggregate, products/completed ops, auto, employer's liability, umbrella, additional insured, primary and non-contributory).
- Expiring policies, bonds and registrations trigger automatic email and SMS reminders. Non-compliant subs are blocked from assignment, not just flagged.
- Matching by trade, distance, crew availability and rating. Work orders generate on assignment; subs accept or decline from their phone.
- Numbered change orders that never overwrite the original work order.
- Labor warranty terms tracked per job, with callbacks vs warranty claims separated.
- Connects to your CRM (JobNimbus, Zapier, Make, n8n or API) so scheduled jobs arrive without retyping.
Where it falls short: It's not a project management suite. No estimating, client portal, Gantt scheduling or accounting. Sub payments are coming soon, not live. If you want one system for the whole business, look at Buildertrend, JobTread or Projul.
Pricing: Free for up to 3 subcontractors, 1 user and 5 jobs a month. Scale is $99/month ($990/year) for unlimited subs, users and jobs. Subs never pay.
2. Buildertrend
What it is: The best-known all-in-one platform for residential builders and remodelers: estimating, scheduling, client portal, financials and sub coordination.
Where it's strong: Breadth. Client communication. A big ecosystem and plenty of people who already know it.
Where it falls short for sub management: Subs are one part of a large system built around the project and the homeowner. Expect to configure your own process for insurance verification and expiry follow-up.
Pricing: Not published. Quote-based across three tiers (Essential, Advanced, Complete) with unlimited users. Third-party estimates in 2026 run from roughly $339 to over $1,000 a month.
3. Procore
What it is: The enterprise standard for commercial construction: project management, quality and safety, financials, bidding and prequalification.
Where it's strong: Depth, scale, and an ecosystem built for large commercial teams and complex projects. Serious prequalification and compliance capabilities.
Where it falls short: Cost and complexity for small and residential GCs. It's a platform you implement, not an app you start using this afternoon.
Pricing: Not published. Quoted based on annual construction volume, with unlimited users.
4. JobTread
What it is: Estimating, budgeting, scheduling, CRM and invoicing for builders, remodelers and specialty contractors.
Where it's strong: Transparent, published pricing. Everything included on one plan. Free portals for customers, vendors and subs. Strong reviews.
Where it falls short for sub management: Built around the job and its budget. Sub compliance and warranty tracking aren't the center of the product.
Pricing: $199/month with one internal user plus $20 per additional user, or $159/month plus $18 per user billed annually.
5. Projul
What it is: All-in-one construction management for growing residential and trade contractors.
Where it's strong: Flat-rate pricing with no per-user fees, which matters as your office grows.
Where it falls short for sub management: Subs are handled inside a broad PM suite, not as their own system of record.
Pricing: Flat-rate tiers with no per-user fees, starting around $4,788/year on its published plans.
6. Contractor Foreman
What it is: A broad, budget-priced construction management tool for small to mid-size contractors.
Where it's strong: Lots of modules for the money.
Where it falls short: Breadth over depth. Sub management is basic compared with dedicated tools.
Pricing: Low, published tiers. Check their site for current numbers.
7. Fieldwire
What it is: Field management: plans, tasks, punch lists and inspections.
Where it's strong: Excellent at getting the right task and drawing in front of the right crew on site.
Where it falls short: It coordinates work, it doesn't manage the sub relationship. No compliance or onboarding workflow to speak of.
Pricing: Per-user paid plans, with a limited free plan for small teams.
8. Knowify
What it is: Job costing and financial management for trade and specialty contractors, built tightly around QuickBooks.
Where it's strong: Job costing, progress billing and accounting integration.
Where it falls short: It's a financial tool first. Better for subs running their own business than for GCs managing a sub network.
Pricing: Tiered subscription. Check their site for current numbers.
How to choose
- You want one system for the whole business (estimating to invoicing): Buildertrend, JobTread or Projul.
- You're a large commercial GC: Procore.
- Your field team needs plans and punch lists: Fieldwire.
- Your problem is the subs themselves (who's covered, who's free, whose warranty, who's paid): SubSub, on its own or alongside your PM tool or CRM.
Many GCs end up with two tools: a PM suite or CRM for the job and the client, and SubSub for the sub network. SubSub's CRM connector is built for exactly that.
FAQ
What is subcontractor management software? Software that helps a general contractor onboard subcontractors, verify and track their insurance, licenses and bonds, assign them to jobs, issue work orders, and track their work and payment.
What's the best free subcontractor management software? SubSub is free for up to 3 subcontractors, 1 user and 5 jobs a month, with no card and no expiry. Fieldwire also has a limited free plan, focused on field tasks rather than compliance.
What's the best subcontractor software for small general contractors? If you want an all-in-one system, JobTread and Projul publish their pricing and suit small residential GCs. If your main problem is managing subs, SubSub costs $99/month for unlimited subs and users.
How do I track subcontractor certificates of insurance? At minimum: record every policy's limits and expiry, check them against your requirements, and set reminders before expiry. SubSub does this automatically and blocks non-compliant subs from being assigned.
Do subcontractors have to pay to use SubSub? No. Subcontractor logins are free on every plan and don't count as users.
Can SubSub replace Buildertrend or JobTread? Not for estimating, client communication or accounting. It replaces the spreadsheets, inboxes and phone calls GCs use to manage subs, and works alongside those tools.
